1. What this site is
This site (“the Resident Hub”) is a record-keeping tool operated by residents and lot owners of 6–10 Gray Street, Sutherland. Its sole purpose is to collect, aggregate and present factual observations about the condition of common property, so that the maintenance history of the building can be reviewed in one place and submitted to the Owners Corporation.
The Resident Hub is not a repair service and is not a substitute for reporting an issue to the strata manager or, in an emergency, to the relevant emergency service. Logging an issue here does not create any obligation on any person and does not constitute formal notice to the Owners Corporation unless separately given.
2. Who may use it
Access is limited to residents and lot owners of 6–10 Gray Street, Sutherland. Registration requires a single-use link issued to a specific lot. You must not share your registration link or account credentials with any other person.
3. Factual reporting only
When submitting an entry you agree that:
- You will describe only what you have personally observed — the location, the nature of the defect, and the date you first noticed it.
- You will keep entries accurate and will not exaggerate, speculate about cause or fault, or state opinions as facts.
- You will correct or withdraw an entry if you later learn it was inaccurate.
- You will not upload photographs that show identifiable people, vehicle number plates, or the interior of another person's lot.
4. Prohibited content
The following must not be submitted, and will be removed:
- Statements about, or criticism of, any identified or identifiable individual — including committee members, the strata manager, contractors, residents or their visitors. Describe the defect, never a person.
- Allegations of dishonesty, negligence, incompetence or misconduct against any person or company.
- Abusive, harassing, discriminatory, threatening or obscene material.
- Personal information about another person, including names, contact details, lot occupancy details or images of them.
- Content that is confidential, legally privileged, or subject to a court order or an ongoing legal proceeding.
Entries are moderated. Entries breaching this section may be edited to remove the offending material or deleted without notice, and repeated breaches may result in an account being closed.
5. Accuracy and responsibility
Each entry is a self-reported observation by the resident who submitted it. The operators of this site do not independently verify entries and make no representation that any entry is accurate or complete. You are responsible for the content you submit. Aggregated figures presented on this site (including day counts and totals) are derived arithmetically from the dates residents have supplied.
6. What personal information we collect
- On registration: your name, email address, the lot number associated with your registration link, and an encrypted form of your password. Passwords are hashed by our authentication provider and are never visible to the site operators.
- When you log an issue: the content of your report, any photographs you attach, the date and time of submission, and the lot number linked to your account.
- Automatically: standard server and security logs kept by our hosting provider.
We do not use advertising or third-party analytics trackers, and we do not sell or disclose personal information for marketing.
7. How your information is used and shown
Issue entries are displayed with the reporting lot number only. Your name and email address are never published on the site or included in the aggregated summary prepared for the Owners Corporation.
Your email address is used to sign you in, and — only if you have opted in — to notify you when the status of an issue you reported changes. You can change this preference or unsubscribe at any time.
Aggregated reports produced for the AGM contain issue details, dates and lot numbers. If you would prefer your lot number to be omitted from a submitted report, tell us before the report is finalised.
8. Storage, retention and security
Data is stored with our hosting and database providers, which may process and store data outside Australia. Access to the administrative interface is limited to the residents who operate the site. Photographs are stored privately and are served through short-lived signed links to signed-in residents.
Records are retained while the register remains in use and for a reasonable period afterwards so that the maintenance history remains available for future meetings. You may request deletion of your account at any time; issue entries you have submitted may be retained in de-identified form so that the historical record and its date sequence remain intact.
9. Accessing or correcting your information
You may request access to the personal information held about you, ask for it to be corrected, or ask for your account to be closed, by contacting the site operators. We handle personal information consistently with the Australian Privacy Principles under the Privacy Act 1988 (Cth) as a matter of practice.
10. Legal context
Section 106 of the Strata Schemes Management Act 2015 (NSW) imposes a statutory duty on an owners corporation to properly maintain and keep in a state of good and serviceable repair the common property of the scheme. This site exists to help residents keep an accurate, dated record relevant to that duty. Nothing on this site is legal advice, and the operators are not lawyers. 11. Changes to these terms
These terms may be updated from time to time. The “last updated” date above shows when the current version took effect. Continued use of the site after a change constitutes acceptance of the revised terms.
